JOB PURPOSE

Provide clerical and administrative support to a team of surveyors in order to optimise workflow procedures in the office.  Assist colleagues and management by supporting them with planning and distributing information.

 

MAIN DUTIES

  • Using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel etc, prepare and manage correspondence, reports, spreadsheets, records, presentations and databases.
  • Organise and coordinate appointments, meetings and travel arrangements and book rooms and conference facilities, assisting in organising internal and external events as required.
  • Liaise with staff in other departments and with external contacts to coordinate the flow of information both internally and externally.
  • Greet and welcome visitors to the office and check and sign for deliveries.
  • Answering the phone and assisting with client enquiries.
  • Make copies of correspondence and other printed material.
  • Maintain filing systems by organising and storing paperwork, documents and computer-based information.
  • Produce sales invoices and assist colleagues in preparing and submitting relevant administration in a timely and accurate manner, for example timesheets, expenses, database applications etc.
  • Adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility.
  • Adhere to stated policies and procedures relating to health and safety, and quality management.
  • This is indicative of the role, however, there will be other duties and responsibilities that you may be required to undertake from time to time.

 

KEY SKILLS

  • Minimum of 5 GCSE’s at Grade C or above, including English and Mathematics, or equivalent
  • RSA II or equivalent or proven keyboard experience
  • Minimum of 2 years’ experience in a professional office environment in an administration/secretarial role.
  • Audio typing and previous experience in the construction industry would be desirable but not essential
  • Good knowledge of Microsoft Office
  • Be proficient in spelling, punctuation, grammar and other English language skills
  • Maintain confidentiality
  • Possess good verbal and written communication skills
  • Good management and prioritisation of workload
  • Ability to cope with conflicting demands and deadlines
  • Work individually or in a team, with a positive and enthusiastic attitude to work
  • High level of attention to detail, accuracy and formatting skills

ADDITIONAL INFORMATION

We offer the following to the successful candidate:

  • Working hours are 9.00am-5.30pm, Monday-Friday with an hour for lunch.

You will be responsible for providing a full building surveying service to the clients of the business across a range of sectors, as well as giving support and advice to other members of the Building Surveying Department.

 

Main Duties:

1. Provide professional building surveying duties including building inspections, acquisition surveys, dilapidations, contract administration, maintenance and refurbishment projects, schedules of condition, party wall awards etc.

2. Effectively communicate with both internal and external parties ensuring all information is available for the successful implementation and completion of projects.

3. Maintain relationships with existing clients and develop new client contacts and business opportunities.

4. Develop relevant knowledge and skills through regular CPD activities and maintain an up-to-date awareness of all necessary legislation affecting the technical aspects of building surveying, sharing knowledge and information where appropriate.

5. Liaise and attend meetings with other company functions necessary to perform duties and aid business development.
